POSITION OBJECTIVES
The Senior Tenant Coordinator is responsible for an internal team of Tenant Coordinators as well as specific retailers, works within the Landlords Retail Design and Delivery Department on all construction activities and provides specific architectural input relating to the Tenant Coordination function, as required, so as to ensure that the design and construction guidelines set forth are adhered to. The STC must ensure that all shops are fully operational by the established opening date.
KEY RESPONSIBILITIES/ TASKS
INTERNAL
1. Retail Design and Delivery Manager and Tenant Coordinator
• Records and updates on the master tracking document all Tenant related design and construction activity.
• Participate in meetings to discuss issues and status.
• Review and determine daily priorities.
• Seek authorization when required.
• Seek performance feedback.
• Escalate issues through chain of command.
• Establish priorities.
2. Leasing Executive
• Seek and provide information.
• Seek clarification regarding agreed terms and conditions with Tenant.
• Define scope of works in preparation of tenancy.
• Track activities to ensure tenancy is handed over to lessee by deadline.
3. Retail Design Manager
• Report status in Retail Design and Delivery meetings on each asset.
4. Tenant Coordinators
• Manage the TC team and its work flow and report weekly to Retail Delivery Manager.
• Track activities to ensure tenancy is handed over to lessee by deadline.
• Detail lessor and Tenant requirements and lease terms and conditions
• Assist billing tenants for works.
5. Lease Plan Designer/s (LOD)
• Coordinate and obtain final lease plan for Retail Design and Delivery.
EXTERNAL
1. Tenants
• Confirm lease terms and conditions
• Discuss Tenant issues
• Handover tenancy to Tenant/s and or TAR
• Assist billing tenants for TVR works/late penalties.
2. Government Officials
• Liaise with the Tenant and the local municipality to seek permits and approval for works within associated with tenancy
• Resolve issues impacting with the centre
3. Tenant/Contractors/Shop Fitter
• Establish and monitor preferred contractor and consultant list.
• Project manage works with contractors for tenancies
• Manage Health & Safety
• Collect certificates for trade
