Umm Al Quwain based Company is looking for a Filipino Administration Officer / PA.

• Maintaining procedures/administrative systems for Development & Planning Department

• Planning and Maintaining office systems, including data management and filing

• Preparing Meeting Agendas and taking minutes of meeting.

• Screening phone calls, enquiries and requests, and handling them when appropriate.

• Meeting and greeting visitors at all levels of seniority.

• Organizing and maintaining diaries and making appointments.

• Dealing with incoming email, faxes and post, often corresponding on behalf of the Department Head.

• Carrying out background research and presenting findings.

• Producing documents, briefing papers, reports and presentations.

• Organizing and attending meetings and ensuring the Department Head is well prepared for meetings.

• Liaising with clients, suppliers and other staff.

• Preparing and drafting Project Contracts and letter of acceptance (LOA).

• Maintain projects database of customers, contractor, consultants and suppliers list.

• Arrange and prepare Request for Payment (RFP) and Variation Order (VO) for Contractors, Consultants and Suppliers.

• Maintain list of all department administrative documents and records.

• Track and maintain records of payment schedule and advise the department head of future costs.

• Maintain register for projects schedules and track any delays and milestones.

• Prepare and organize project documents, submittals and required documents to local authorities and organization in order to obtain approvals.

• Maintain an effective log for all incoming and outgoing documents, reports and submittals.

• Prepare and draft request for proposals (RFP) for consultants, contractor and suppliers.

• Maintain a record of all important documents and confidential information for the company’s submittal to local authorities.

• Input all required information for Development module for the Oracle Enterprise Resource Planning (ERP).

• Maintain custody of all project reports and drawings for easy retrieval in case consultant, contractor or local authorities’ requirements.

• Prepare and organize required land/plot documents for customer registration to local authorities.

• Maintain a systematic email archiving for each project for effective and easy retrieval of information.
