Personnel
• Ensure compliance with company regulations at all times, ensure employee understanding of and compliance to the employee handbook.
• Ensure understanding of and compliance to standard HR policies and procedures.
• To act as the liaison officer with the Social Security Department.
• Monitor and report on employee complaints/satisfaction.
• To co-operate with our employees with relevant issues of health insurance and Social Security.
• To maintain confidentiality and observe data protection where appropriate.
• Maintaining Time and Attendance records.
• Ensuring that the companies Grievance, Disciplinary and other Personnel Procedures are adhered.
• Drafting contracts of employment
• Maintaining employee personnel files according to HR policies.
• Maintaining employee attendance records in terms of all types of leaves (annual, sickness, ... ).
• Respond to or redirect employee queries.
• To carry out any other reasonable duties and responsibilities within the overall function, commensurate with the grading and level of responsibility of the post.
Work with HR support systems (mainly HRIS) to ensure the smooth running of the HR operation
• Ensure that all data (employee and system setup) is updated and maintained on the HR System
• Ensure that all relevant documents are posted on the system.
• Create reports for management from the system as needed.
• Randomly audit the functionality of the system to ensure that everything is running smoothly and in accordance with current policies and standards.
Reporting
• New hires and terminations.
• Salary Summaries.
• Organization wide attendance.
• Vacation Balances.
Legal Issues
• Liaise with Ministry of Labor on issues related to work permits and internal systems.
• Communicate with legal counsel on an as needed basis on issues related to disputes and grievances and any rising matters.
