ROLE SUMMARY
The main purpose of this position is to process all administration activities including telephone use, proper customer service and communication, distribution of internal mail and courier and coordination of travelling arrangements and transportation services for employees and visitors.
ACCOUNTABILITIES
· Follows up on modifications in telephone extensions, assigns extensions for new comers, makes modifications and includes them in the extension list to be distributed to all staff members on monthly basis.
· Initiates helpdesk for telephones and extensions malfunctioning and follows up on related repairs.
· Receives requests for new telephone sets and follows up with the IT on this and other related orders, ensuring purchases and setups are made up to specifications.
· Coordinates with Telecommunication companies for specific offers and services updates and repairs, as requested by the Administration Manager and follows up on related quotations.
· Prepares and distributes telephone billing to the company sites after assigning outgoing calls in each site.
· Checks the fax server daily activities and follows up on related repairs in case of breakdown.
· Ensures that internal mail is being properly distributed within each site without delays.
· Receives and sends internal and external mail distribution through international and local courier companies as per request and processes related invoices.
· Ensures that all ingoing and outgoing mails are registered.
· Organizes the trajectory of the Administration Driver, as per clinic schedule and visitors and employees required destinations.
· Coordinates with external transportation Services Company as per required destination for employees / visitors and processes the related invoices.
· Performs any data entry and filing activities for Administration sections whenever needed.
Complies with the health & Safety instructions
· Responsible in exercising due diligence towards health & safety of self & others in the organization.
· Responsible to comply with the applicable HSE procedures, instructions, requirements, standards received from regulatory and statutory bodies.
· Responsible for reporting to superior occurrences, events, violations and acts that may impact staff health and safety or the environment.
PERFORMANCE MEASURES/SUCCESS CRITERIA
Proper coordination of the transportation services, and internal/external mail.
Proper processing of telephone and other communication requests.
Proper supervision of the receptionists and switchboard for proper customer service.
Monitoring of office supplies and expenditures.
