1. Establish, maintain & develop filing system for relevant documents.
2. Ensure proper and accurate filing consistently.
3. Maintain calendars, schedule appointments, receive visitors, screen calls and mail, and answer routine inquiries related to the premises.
4. Provide administrative support including meeting agenda & minutes of meeting.
5. Generate official memos & faxes as required, coordinate monthly reports, and prepare routine correspondence on own initiative.
6. Make minor administrative decisions required according to the policies & procedures of the property. Resolve some items of a non-technical nature while reporting questionable areas to the Director.
7. Participate in preparations & arrangements required for special events in coordination with Marketing Department. I.e. keeping and updating mailing list of all invitees and handling distribution of invitations to the invitees.
8. Establish, monitor and coordinate required communication between the Vice President & other Sectors Directors. Ensure that correspondence, reports & all critical information that may impact upon some decision making process are reported to the Vice President, on proper timely manner.
9. Arrange hotel & flight reservations for outside vendors, clients…etc.
10. Translate documents from Arabic to English and vice versa.
11. Operate office machines: fax machine, printer, shredder, and projector & copier machine.
12. Perform other duties as may be assigned.
