To supervise the administration department to ensure that prompt and efficient services are provided to the company concerning required government certifications like immigration, traffic and other related requests are processed as per the rules and regulations of the land. The role will also oversee the smooth running of the camps.

Duties & Responsibilities include but not limited to:

• Oversee the administration team and ensure that all traffic, visa, immigration related tasks are handled promptly and efficiently and that all services are provided in a high standard manner.

• Supervise, coordinate and follow up with visa & immigration department in applications for employment and visit visas and visa revalidation in order to assure prompt and efficient processing of applications.

• Handle and approve cancellation, absconding cases and release transfers requests and to supervise the follow-up with immigration department on such matters.

• Review and approve applications for immigration, consulates, traffic, Health Department and for other government departments and to accordingly monitor and direct staff to perform the tasks as per the assigned responsibilities.

• Conduct whenever possible information sharing sessions on apprising Managers and senior staff of any new decrees by the Ministry of Social Affair or any other Government Agency.

• Manage and maintain all government relations.

• Monitor the team and ensure the various tasks such as typing forms, following on termination and absconding cases, identifying overstays persons, attesting of employment contracts, following on passports renewal, updating systems are done as per the policies and procedures.

• Assist employee’s issues by coordinating internally with the other units and externally with consulates, Immigration Department and other government departments regularly in related matters.

• Responsible for overseeing the efficient running of camps & delivery of services to camp residents.

• To handle any other assignments as per instruction and requirement of the management and to provide them with regular reports on the unit's performance.

• Assist the management in the fulfillment of its obligations, statutory or otherwise, concerning prevention of personal injuries.

• Maintain a safe working environment.

• Accountability and Authority (QHSE)

• Responsible for compliance of applicable legal, statutory, contractual or other applicable requirements

• Responsible for identifying the Hazards and maintaining the Hazard and Risk analysis records

• Accountable for any unsafe acts and conditions

• Responsible to present data with respect to the Objectives, targets or Key performance indicators.

• Accountable for providing safe residential facilities as per applicable legal requirements and / or the company Policies.

• Timeliness procurement of required visas, registrations

• Cost of camps per employee

• % occupancy of camps

• Number of requested documents achieved as per schedule

• Error rate in database/records

• Documentation process improvement

• Average time to respond to internal queries

• Educating employees regarding the traffic and vehicle insurance laws

• % of residents trained on issues like Hygiene & Security
