The main objective of the position is to actively support administrative and office operations and activities, and to assist the General Manager in organizing and ensuring the efficient flow of his work and duties.
The successful candidate will handle the following key responsibilities:
- Handle communication by receiving calls, mails, e-mails and fax, and redirecting them to the relevant staff members,
- Make phone calls as needed, act on incoming communication, and prepare correspondence,
- Keep good relationships with various internal and external stakeholders including suppliers and distributes
- Circulate internal memos,
- Provide the needed company-related information
- Maintain office documents such as charters, laws and board meetings minutes
- Update and ensure the accuracy and consistency of the organization's databases
- Maintain and organize as needed office folders and systems
- Maintain employee records
- Resolves administrative issues by preparing reports, analyzing data, and identifying solutions.
- Purchase, receive and store the office supplies ensuring that basic supplies are always available
- Coordinate the maintenance of office equipment and internet issues
- Assist in making travel, meeting and other arrangements for staff members
- Manage the General Manager’s calendar by arranging meetings, travel plans, itineraries, and agendas
- Assist in the coordination of the General Manager’s activities by compiling related documents and records,
- Assist in event organization
- Keep the General Manager and staff of commitments, responsibilities, and other issues
