Duties would be as follows:
ADMINISTRATION
1)Events FF&E BOQs and Layouts
Work with the VLM in fully capturing the FF&E BOQ and layouts for all events, as received from the various departments, ensuring all the proper information has been received.
Follow up regarding missing or incomplete information regarding the FF&E BOQ with the required departments.
Creating the FF&E Room Data Sheet Reports (RDS Reports) for a record of items handed over to the functional areas for their events, or departments for permanent usage
Ensure that the RDS reports are signed off properly when FF&E is handed over, and received back from events.
2)Management Of ADMM Assets
Track all FF&E going out and coming back from events, noting any damaged or missing FF&E, and updating the FF&E asset tracking database system (upcoming project) regarding the FF&E locations around the venue
Receive all new FF&E purchased by the Events team from Stores, ensuring that all items are properly asset tagged, and entered on to the asset tracking database system
Updating and maintaining the FF&E catalogue, as required, to ensure that all departments are up to date of what FF&E is available for usage
Prepare a report on a regular basis (quarterly at the present moment) of all lost, damaged, or end-of-life FF&E, so that upper management can decide a the proper course of action regarding these items.
3)Purchase Requests (PR) Management
Raise PRs for all Logistics requirements and duties/tasks (water, tools, HD drivers & trucks, laundry, etc.)
Follow up with Procurement to ensure that all PRs are processed and approved in a timely manner
4)Master Delivery Schedule (MDS)
Prepare and finalize the MDS process and requirements for all applicable major events
Prepare all required MDS documentation for distribution to all concerned parties.
Prepare all MDS training materials, as required, for the scheduled MDS training sessions
Support the MDS training sessions, as required.
Ensure all MDS communications channels (telephone, internet) are functioning properly for the users, at all times.
Capture the incoming data for the MDS from the users, build the daily MDS schedule, and deliver it to company Security by the required deadline, during the soft and hard lockdown periods
Before, during, and after MDS events, communicating with vendors, drivers and operators to facilitate a smooth entry into and exit from the site during the soft and hard lockdown periods.
Handle all MDS related enquiries from all users
Coordinate with all concerned parties involved (users, FA, Security, HSE, etc.), regarding any last minute, unscheduled deliveries.
Help the VLM create the post event statistical and performance reports regarding the MDS operations, for all MDS events
Management of Onsite Contractor Staff
Work with the VLM in creating the daily bump in/out schedules for the labour teams, as well as any other requests received via a Work Order (WO) from FM Helpdesk.
Assist the VLM from the office, and sometimes on the ground, in monitoring bump in and bump out activities, as they are executed by the daily labour teams
Assist in end of day preparations for next morning’s deployment of tools and equipment for each team’s scheduled tasks
Ensure that all contractor crew time sheets are properly and correctly filled out, and ready for review and signature by the VLM
Prepare the monthly labour tracking reports for Finance
Prepare the Projected Labour Costs for the following month for all required departments’ approval.
Assist the VLM in dealing with any last minute, unscheduled requests
