• Answer all calls coming in on the main switch board, taking telephone messages for members and staff that are not available and referring callers on to other staff where appropriate
• Provide an efficient and friendly reception service for visitors to the resort, maintaining an accurate knowledge of members and their portfolios, and appropriately directing inquires
• Ensure accuracy and confidentiality when dealing with all
requests, correspondence, deliveries, filing, photocopying,
telephone calls and relaying messages.
• Keep up to date with current promotions and hotel pricing, to provide information to guests, on request, while maximizing bedroom sales opportunities
• Maintain a current and accurate desk-file to provide guidance for any member
• Deliver excellent customer service, at all times
• Ensure and coordinate with the Housekeeping department that all arrivals rooms are ready and clean for guest arrivals
• Control the issuing of guest gate passes back to the Facilities and Administration Manager
• Coordinate with maintenance regarding any residents or guest request for repairs and maintenance.
• Update, where relevant, internal databases and telephones extension. Provide other administrative support services as required, after discussion with the senior Receptionist
• Participate positively and actively in team activities, meetings, planning activities and general team development.
• Demonstrate the active sharing of knowledge within the reception
• Continually identify improvements to team services, processes and operations.
