ADMINISTRATIVE ASSISTANT:



Outgoing, well organized, proactive Administrative Assistant with Good Problem solving and communication skills to work on a project with General Manager and his small team. Provides a wide variety of moderately complex administrative services in an efficient and effective manner. Assist in the administration of projects and processes





MAIN DUTIES



• Manages and Maintains the General Manager’s diary and e-mail account and filters e-mails, Highlights urgent correspondence and prints attachments.

• Ensures busy diaries commitments, papers and travel arrangements are managed effectively including producing a daily folder with diary, necessary papers etc. and troubleshooting problems

• Coordinates GM’s calendar’, appointments, conference calls, papers and travel arrangements

• Provides a comprehensives secretarial and administration service to the general Manager across the range of his work

• Schedule debriefing meeting between staff and GM so follow-up action can be implemented





BROAD DUTIES



• Performs administrative duties such as typing, answering phones, copying, faxing filing and report preparation

• Performs administrative duties such as typing, answering phones, copying, faxing filing and report preparation

• Coordinates mailings and distribution of information

• Helps team in preparing and producing marketing and PR documents as per GM Request

• Coordinates the execution of proposal material and agreements including but not limited to organizing collating, binding, etc. as

• Writes down and circulates reports and minutes of meeting to concerned stakeholders (team members or external associates)

• Helps in communication partner companies and sponsors

• Helps financial department in processing invoices for partner companies and sponsors upon GM request

• Provides back up coverage for other area’s as needed

• Handles any other miscellaneous duties as requested by GM



EDUCATION



• BA in Translation, Documentation Management or Business Administration







KOWLEDGE, SKILLS AND EXPERIENCE



• Min 5 years of experience in the related fields

• Proficient in Microsoft Word, PowerPoint, and Outlook software

• Computer literacy in Adobe (InDesign, Illustrator, Photoshop and Acrobat) is a plus

• Good proof reading and editing skills

• Effective verbal and written communication skills

• Ability to work in a team environment

• Excellent interpersonal skills and Proficient in Microsoft Word, PowerPoint, and Outlook software

• Computer literacy in Adobe (InDesign, Illustrator, Photoshop and Acrobat) is a plus

• Good proof reading and editing skills

• Effective verbal and written communication skills

• Ability to work in a team environment

• Excellent interpersonal skills and organizational skills

• Must be detail oriented to ensure accurate deliverables, and able to take initiative to meet deadlines



Proficiency in French and English + Arabic Typing
