Admin Manager
• Oversee and administer centralized operations of Administration department.
• Ensure operations run smoothly within departments such as information and data processing, mail, maintenance scheduling & distribution as per priority, security, recycling, and transportation services.
• Ensure contracts, insurance, and government regulations and safety standards are followed properly.
• Plan long and short-term maintenance needs.
• Modernize and update fire & safety equipment & set proper guidelines across all divisions.
• Oversee maintenance service support to all divisions through contractors & follow up ensuring deadlines for the jobs are met.
• Upkeep and maintenance of all the company owned vehicles including surprise check for all the vehicles for cleanness.
• Proper documentation (including registration & Insurance) and system information update of vehicles with service and maintenance history.
• Ensure and periodic inspection of petrol coupon used by all the divisions with system updates.
• Liaise with leasing companies on negotiating for better rates and other services including payment.
• Handle issue related to car accidents for documentation and insurance claim of owned vehicle and coordinate with leasing company for replacement and damage settlements.
• Prepare, analyze, negotiate and review contracts related to the purchase or sale of equipment, materials, supplies, products, service providers or staff accommodation services and ensure that quality service are maintained with best cost optimization.
• Handle the acquisition & asset distribution of HR, and storage of equipment and supplies.
• Ensure a contingency plan for grounds maintenance.
• Ensure staff building’s operations and maintenance is always updated & followed as per standard.
• Source new premises for company/divisions on rental & ownership basis and coordinate & supervise activities up to completion of the project.
• Oversee renovation projects of all retail units & provide ideas to enhance their business & footfall. Coordinate with consultant/site engineer for quality inspection and work completion deadlines.
• Monitor operations for security & making sure they are adapting with the work environment. Period spot check and regular job rotation management.
• Direct facilities to all staff & maintain motivational team sprit across. Ensure periodic visits to staff accommodations to ensure that the facilities are adequate and properly utilized by the staff members. Hold meeting with
• Assist GM - HR during staff evaluation & appraisals.
• Responsible for ensuring staff training needs for the Admin staff including Securities and cleaner are conducted.
• Responsible for making sure staff uniforms are in proper condition & as per standard.
• Making sure all AJM units are following the cleaning procedure inside the show rooms & guest toilets are always clean.
• Making sure of opening & closing time of all retail units are being followed as per the standard.
• Responsible for finding alternative vehicles in replacement of our owned old vehicles.
• Responsible to check all quotations & evaluate the price and negotiate discounts with the supplier.
• Work closely with the GM - HR Admin & Training and follow any other instruction that may be given from time to time for achieving divisional and Group’s goals and objective.
