The HR Coordinator is split across two functional areas: HR Coordinator, this role will provide the opportunity for the individual to add HR substantial Generalist experience to their career by contributing to the delivery of a responsive and professional HR service to academic and non-academic staff across the Center, working closely with the HR Manager in all administrative, scheduling and organizational aspects of the employee life cycle. Key Responsibilities • Working in collaboration with the administration Officer to prepare and amend documentation in both Arabic and English pertaining to HR Administration • Liaising with the Office Assistant to assist with the on boarding process and in preparing on boarding documentation. • Preparing job offers and contracts in Arabic and English for approval by the HR Management Team. • Regularly attend HR team meetings in order to maintain consistent and regular communication updates • Prepare promotions and performance letters and forms. • Using ITeam Microsoft HR application to ensure the employee database is kept up to date. • Coordinating and maintaining adequate and full personnel records, files and basic reports • Preparing and sending correspondence for approval by HR in all aspects of the employee life cycle including sickness, offers and contracts and taking minutes at disciplinary and grievance hearings. • Performing other job-related duties as assigned by the HR Management Team and as required by the Administrative Offices, as may be reasonably expected to fall within the job scope and grade. • Arranging induction meetings with new staff and going through the general HR policies such as leave, compensation and benefits dates and frequency, probation period and the general immigration process. • Preparing various aspects of the pre and post on boarding process including retrieving information from the on boarding survey to assist with sponsorship and visa applications • Liaising with the facilities manager and office assistant to help in finding, booking and processing accommodation for new staff. • Maintaining and ensuring data confidentiality throughout all processes and communications.
